Online Booking for Tradies: Taking Bookings Without Phone Tag
An online booking system lets your customers pick a real time, pay a deposit if you ask for one and get a reminder, all without you answering the phone mid-job. For a trade business, it works best when it sits on a website built to take bookings and connects to your Google Business Profile.
This guide covers what Google and the ACMA say, what a booking system really costs in AUD, how to set it up for arrival windows, travel time and quote visits, and how to test it before you commit. Nothing here ranks a product first, because we don't sell one.
Key Points
- A Google Business Profile can hold up to 10 links per category, including a book-an-appointment link, and you can set your own link as 'Business preferred'.
- From 1 July 2026, businesses sending SMS under a branded sender ID must register it through their telco or message provider.
- Unregistered sender IDs are labelled 'Unverified' and grouped with other unverified messages, including scams.
- Square Appointments costs $0 on its Free plan for a single location, $40 on Plus and $90 on Premium per month per location, with card rates of 1.6% in person and 2.2% online (prices checked [check date to add once all figures are re-confirmed on Square's pricing page on the same day]).
- Square's Free plan leaves out Google Calendar sync, so check calendar sync before you rely on any plan to stop double-booking.
- Trade work needs arrival windows, travel buffers and quote-first booking set up deliberately, so test how any booking tool handles these before you commit.
What is an online booking system, and which kind suits your trade?
An online booking system lets a customer choose an open time and lock it in themselves. An enquiry form only starts a conversation, and that conversation is where phone tag begins.
A job-management app runs the job after it is booked, with quotes, job cards and invoices. Some include a customer booking page and some don't, so the table below compares tool types by role rather than by brand.
[Vendor comparison to add before publishing: confirm on each vendor's own site whether ServiceM8, Tradify, Fergus and Simpro offer a customer-facing booking page, then add a row per vendor with a link to that page. No vendor features or links are verified yet, so none are named here.]
Choosing by the shape of your work means the tool fits your week, not the other way round.
Matching the tool type to the work (no prices or vendor claims)
| Tool type | What the customer can do | Suits | Watch for |
|---|---|---|---|
| Enquiry form | Send a message and wait for a reply | Jobs that always need a conversation first | Replies that slip while you're on the tools |
| Customer-facing booking tool | Pick a time, pay a deposit and get a reminder | Fixed-scope, repeatable jobs such as a standard service | Fixed slots that ignore travel time |
| Job-management app with a booking page | Book a visit that flows into quotes and invoices | Quote-first trades with site visits | Whether the booking page is included on your plan |
| Phone | Talk to you straight away | Emergency call-outs | Calls missed mid-job |
How do you set up online booking for trade work?
Ranking guides and vendor examples centre on salons and clinics, where the customer comes to you. Trade work runs the other way, so follow this sequence and switch the booking link on last.
[Placeholder: client example to be added. No Gold Coast or QLD trade booking setup with client permission is in our evidence pack yet. Once confirmed, add the client, what was configured (arrival windows, travel buffer, quote-visit booking, confirmation rule) and what changed afterwards. Do not replace with a generic scenario.]
Keep emergency work on the phone, because a burst pipe should never wait in a booking queue. Put your number right beside the booking button so urgent customers know where to go.
A setup built in this order means customers only ever see times you can actually keep.
- First, enter every existing booking from your paper diary and text messages, so nothing double-books on day one.
- Second, set up your services as arrival windows, such as a morning or afternoon window, rather than fixed slots.
- Third, add a travel buffer between bookings so the system never puts two jobs back to back on opposite sides of the Gold Coast.
- Fourth, ask for the suburb or postcode first, so people outside your service area find out before they book.
- Fifth, make the quote visit the bookable item whenever the price depends on what you see on site.
- Sixth, connect the calendar on your phone and check that a test booking appears in both places.
- Seventh, choose your confirmation rule, with instant confirmation for simple work or a request you approve at smoko for anything that needs a look first.
- Eighth, export a backup of your customers and bookings before you go live, and again after your first busy week.
- Finally, add the booking link to your Google Business Profile and switch it on.
How do customers book from Google Search and Maps?
Customers book from Google through the links on your Business Profile. According to Google's help page on profile links, a profile can hold up to 10 links per category, including a book-an-appointment link.
You can mark one of those links as 'Business preferred', so Google knows which booking page is yours. Third-party booking providers can also appear on your profile automatically, and you can remove any you didn't choose.
These links cannot be added through the API or a spreadsheet upload, so add them by hand in the profile itself. Our guide to optimising a Google Business Profile for QLD trades walks through the rest of the listing.
You don't strictly need a website, because a hosted booking page from your provider can be the link. A website still gives the button a proper home, with your reviews, photos and service areas around it.
With your own link set as 'Business preferred', customers land on the booking page you chose.
What does an online booking system really cost in AUD?
The real cost is the plan fee plus card fees, SMS charges, extra users and GST. We've used Square Appointments' Australian pricing as a worked example because it is published, not because we recommend it.
Square's pricing page does not say whether its prices include GST, so confirm that in writing. Then work through this checklist with your shortlisted tool, filling in the placeholders from your own month.
Working out the total before you sign up means the monthly bill holds no surprises.
- Start with the plan fee, which on Square is $0, $40 or $90 per month per location.
- Check whether you are billed in AUD or USD, because a USD bill changes with the exchange rate and your bank may charge a fee on overseas transactions.
- Add 2.2% of the [total online payments you take in a month], since that is Square's online card rate.
- Ask whether the card fee applies to the deposit and the final payment separately, and whether the fee comes back when you refund a deposit.
- Add [the per-message SMS charge, if your provider has one] multiplied by [the number of reminders you send].
- Add [the fee per extra user] multiplied by [the number of staff or apprentices who need a login].
- Check whether the final invoice flows from the booking with GST shown, or whether you will retype it into your accounting software.
- Add GST on top if the provider confirms its prices do not already include it.

| Item | Published figure | What to check |

| Plus plan | $40 per month per location | Whether GST is included |

What do the Spam Act and sender ID rules mean for booking reminders?
If your reminders show your business name instead of a phone number, that name must be registered. The ACMA's guidance on sending texts under your business name says that from 1 July 2026, businesses including SMEs must register their sender ID through their telco or message provider.
Unregistered sender IDs are labelled 'Unverified' and grouped with other unverified messages, including scams. A sender ID must be between 2 and 11 characters, and ABN holders need current Australian Business Register details.
If your system sends from a phone number instead, you don't need to do anything for the sender ID rules.
[Source to add before publishing: link the ACMA's Spam Act guidance to support a sentence on consent, identifying the sender and unsubscribe duties. Only describe booking reminders as different from marketing texts if that page supports it. The URL is not yet verified, so the sentence is held back.] Our guide to automated texts and the Spam Act rules covers follow-up messages in more detail.
A registered name means your reminder lands as yours, not next to a scam.
How do you test a booking system before you commit?
Run one full booking through the system as a customer would, during the free plan or trial. Work through these steps in order, on your own phone, before the link goes live.
Read the provider's terms for who holds the customer data, what the provider may do with it and what happens to it when you cancel. Customer names, addresses and phone numbers are personal details, so limit who has the login and use them only for the job and the follow-up the customer agreed to.
[Source to add before publishing: link the OAIC's Privacy Act guidance. Do not state turnover thresholds or exemptions unless verified on that page.]
A tested system and an exported backup mean you can switch tools without starting your customer list from scratch.
- First, book a quote visit from your Google Business Profile on a phone, and check that the booking button is easy to find on a small screen.
- Second, check the booking lands in your phone calendar and that the travel buffer and arrival window show as you set them.
- Third, cancel the booking and check the refund, any cancellation fee and the card fee behave as you expect.
- Fourth, export your customer and booking data and open the file, so you know your data can leave with you.
- Fifth, check the reminder text and confirm the sender name or number your customer will actually see.
Frequently Asked Questions
Do I need a website to take online bookings? No, a hosted booking page from your provider can be the book-an-appointment link on your Google Business Profile. A website still gives that button a better home, with your reviews, photos and service areas beside it.
Is there a free online booking system in Australia? Yes, Square Appointments' Free plan costs $0 for a single location. Cancellation fees, the waitlist and Google Calendar sync are not on the Free plan, so check those before relying on it.
Can I take a deposit or charge a no-show fee? Some booking systems let you, so check each one you compare. On Square Appointments, prepayments and card on file are on all plans, cancellation fees are not on the Free plan, and online card payments cost 2.2%.
Will an online booking system stop double-bookings? It can, provided it syncs with the calendar you use. Square's Free plan leaves Google Calendar sync out, so enter your existing bookings and test a booking in both places before you go live.
Do I have to register a sender ID for SMS reminders? Only if your texts show your business name. From 1 July 2026 a branded sender ID must be registered through your telco or message provider, and if you send from a phone number you don't need to do anything for these rules.
Why is a booking link I didn't add showing on my Google profile? Third-party booking providers can appear on a Business Profile automatically. You can remove them and set your own link as 'Business preferred' so customers land on the right page.
