Google Workspace or Microsoft 365 for a Trade Business? AU Prices, GST and Job-Site Reality

Google Workspace suits most phone-first trade businesses that quote and invoice from the ute, while Microsoft 365 suits trades whose builders, accountants or job software expect Word and Excel files. On list price the two sit close enough that cost should not decide it. Your job software, your customers and your phone should decide it instead.

I wrote this for owners on the tools on the Gold Coast and across South East QLD, not for office managers in a CBD tower. Pick the platform that fits the way your business already works, and use the rule below to get there in a few minutes. Most trades I talk to agonise over features they will never open, when three questions settle it.

  • Check what your job-management software connects to best, because the tool you quote and invoice from every day matters more than the email app.
  • Check what your builders, head contractors and accountant send you, because if they live in Word and Excel files, Microsoft 365 saves you a lot of formatting headaches.
  • Check how you actually work, because if you run the business from your phone and a browser, Google Workspace usually feels simpler from day one.

What does each platform cost in Australia, ex-GST?

Microsoft publishes Australian prices per user per month on an annual commitment, and every tier comes with or without Teams. The figures below come from the Microsoft 365 plans and pricing page for Australia, the Microsoft 365 Business Standard page and the Microsoft 365 Business Premium page.

Google's figures need a clear flag. They come from a prior-indexed snapshot of the Google Workspace Australian pricing page, not a live reading, and the snapshot does not tell us whether GST was included.

Treat the Google numbers as a guide and confirm them on the live page before you commit. That one check stops you budgeting on a stale figure.

What's the real cost once GST is added?

The real cost is the headline price plus GST, because Microsoft states that the prices on its pricing pages do not include GST. Every Microsoft figure in the table above will be higher on your invoice.

For Google, read the live pricing page and the checkout screen closely to see whether GST is included or added. The snapshot we have does not say, so I will not guess on your behalf.

If you are registered for GST, talk to your accountant about how the subscription is claimed. Either way, you will budget on the number you actually pay, not the number on the banner.

Which is cheaper for a 1 to 5 person trade business?

On headline price, Microsoft 365 Business Basic without Teams at AU$8.10 is the lowest figure in the table, with Google Workspace Starter at $9.90 close behind. At the next tier up, Google Workspace Standard showed $19.80 against Microsoft 365 Business Standard at AU$16.10 without Teams or AU$21.00 with it.

Because the GST basis of the Google snapshot is unconfirmed, this is not a perfect like-for-like comparison. What it does show is that the gap per person is small.

Take a Gold Coast electrician with one apprentice and a part-time office admin as an example. That is three users, so multiply the per-user price by three and add GST, and the difference between platforms is a rounding error next to one missed callback.

Storage is where the plans differ more. Google's snapshot showed 30GB pooled per user on Starter and 2TB pooled per user on Standard, which matters if you photograph every job.

Choose on fit, not on the price gap, and you will avoid paying twice by switching later.

Does either platform work with patchy signal on a job site?

Both platforms can be set up so you can open and edit files when signal drops, but you need to switch that on before you leave for the job. Offline access is not something you can turn on in a dead zone behind a hinterland property.

Do not take anyone's word for it, including mine. Run this test on your own phone and laptop before you commit.

  • Open the quote template, the price list and the latest invoice you use most, and set them to be available offline in the app.
  • Turn on flight mode and try to open, edit and save each file, because that is exactly what a job site with no bars will do to you.
  • Turn flight mode off and check that your changes synced back without creating a duplicate or a conflict copy.
  • Repeat the test on the cheapest device anyone in the business uses, because that is the one that will let you down first.

Can I run it on a cheap Android phone in the ute?

Yes, both platforms have mobile apps for email, files and calendars, and either can work from a budget phone. The question is how comfortable each one feels when you are standing in a driveway with one free hand.

Install both sets of apps on your actual phone and do a real day's work with each if a trial is available. Send a quote, reply to an enquiry, find last month's invoice and attach a job photo.

Whichever one gets that done with fewer taps is the one your crew will actually use.

Which works better with ServiceM8, Tradify, Fergus or simPRO?

The best answer comes from your job software, not from Google or Microsoft. Each job-management tool lists its integrations for email, calendars and accounting, and that list should carry more weight than any feature comparison.

Open your job software's integrations page and look for calendar sync, email sending and file storage. If it connects cleanly to one platform and awkwardly to the other, you have your answer.

Check with your accountant too, because the accounting side of the chain matters as much as the quoting side. When the whole chain talks to each other, your quotes, bookings and invoices stop needing to be typed twice.

Do I need Business Premium as a plumber, sparky or landscaper?

Most small trade businesses do not need Business Premium to start, and Business Standard covers the day-to-day work of email, files and documents. Premium costs AU$32.90 per user per month with Teams, against AU$21.00 for Standard with Teams, both ex-GST.

Read what Premium adds on Microsoft's plan page and step up when you have a specific reason. A contract that sets security requirements, or a growing team using company-owned devices, are the kinds of reasons that justify it.

Copilot tiers sit higher again, at AU$30.40 for Standard with Copilot and AU$43.10 for Premium with Copilot. Start lean and upgrade when the business asks for it, and you keep that money in the business.

How do I move from Bigpond or old hosting email without losing anything?

You can move an existing Bigpond, Telstra or old hosting mailbox to either platform without losing emails, provided you do it in the right order. Most lost-email horror stories come from cancelling the old service too early.

Follow the provider's own migration guide for the platform you choose, and keep these steps in this order.

  • Keep the old email account active and paid until the move is fully confirmed, because cancelling first is how emails disappear.
  • Make a full export or backup of the old mailbox, including sent items and folders, before you start.
  • Set up the new mailboxes on your own domain and copy the old mail across.
  • Change the domain's mail records last, ideally on a quiet afternoon, so new enquiries start arriving at the new mailbox.
  • Send test emails from an outside address and check they arrive before you tell customers anything has changed.

What happens to my email if I'm the only person in the business?

If you are the only admin and something happens to you, nobody may be able to get into your email, files, quotes or customer records. This risk is the same on Google Workspace and Microsoft 365, and very few comparisons mention it.

A sole trader's email is often the key to the bank, the job software, the domain and the accounting file. Losing access can stall the business for weeks at the worst possible time.

Set up these protections in an afternoon on either platform.

  • Create a second admin account for a trusted person, such as a partner or business manager, so you are not the single point of failure.
  • Store recovery codes and the domain login somewhere safe that this person knows about.
  • Write a one-page access plan that lists which accounts exist and who to call, and keep it with your important papers.
  • Review the plan once a year, or whenever someone joins or leaves the business.

Is my data stored in Australia, and does it matter?

Where your data is stored depends on the provider, the plan and the settings, so check each provider's data location documentation for the plan you are considering. Do not rely on a reseller's summary.

For most trades holding names, addresses and job notes, the bigger risk is weak passwords and shared logins rather than which country the server sits in. If a client contract or your industry sets data location requirements, get advice before you sign up.

Sorting out logins and admin access first gives you more real protection than any storage setting.

Can I set it up myself in a weekend?

Yes, a confident owner can set up either platform over a weekend for a small team. Creating users and installing apps is the easy part.

The step that trips people up is the domain and mail records, because one wrong entry can stop email arriving. Do that part on a quiet day and test it before Monday.

Switching later is possible, but it costs you a weekend or more of migration and a period of retraining your team. Files, calendars and shared folders all need to move, and any job software connections need to be set up again.
